Job description
We are seeking an organized and professional Executive Personal Assistant to support our leadership team and senior executives across the organization. Responsibilities include:
- Senior Stakeholder Interaction: Liaise between leadership team and senior executives, including C-level executives and senior management. Coordinate communications with tact and professionalism.
- Executive-Level Support: Provide comprehensive administrative support, managing complex calendars, scheduling meetings across time zones, and coordinating international travel.
- Meeting and Event Management: Organize and manage high-level meetings, strategy sessions, and events. Ensure seamless logistics, prepare agendas, and manage follow-up actions.
- Global Coordination: Coordinate with global teams and offices, managing communications and logistics across regions. Ensure efficient completion of time-sensitive tasks.
- Documentation and Reporting: Prepare high-quality documents, reports, and presentations for senior management. Ensure accuracy and alignment with corporate standards.
- Project Support: Assist in planning, coordination, and execution of strategic projects. Track progress, meet deadlines, and provide administrative support.
- Confidentiality and Discretion: Handle sensitive information with utmost confidentiality. Manage communications and documentation with discretion.
Your Profile:
- Proven experience as a Personal Assistant or Executive Assistant supporting senior management in an international or corporate setting, ideally in energy, technology, or similar industries.
- Bachelor's degree preferred, additional qualifications in business administration or related field advantageous.
- Ability to manage complex schedules, prioritize tasks, and handle high-pressure situations.
- Outstanding written and verbal communication skills, interacting effectively with senior executives and key stakeholders.
- Experience in a global organization, understanding different cultural contexts and working across time zones.
- Proactive problem-solving with discretion in handling confidential information.
- Proficiency in Microsoft Office Suite and adaptability to new technologies.
- Willingness to travel and to support a globally distributed leadership team.
